Use this article when you’re ready to close Pledge Manager, set a planned closing date, or stop new pledges while you still collect shipping details.

Before you close Pledge Manager

Before you close Pledge Manager, decide what you still need from backers.

If you’re done collecting pledges and shipping details, you can close Pledge Manager.

If you know when you want to close it, you can set a closing date and let Gamefound close it automatically.

If you don’t want new pledges anymore, but still need shipping details and shipping fees, keep Pledge Manager open and use the shipping-only setup.

Important: When Pledge Manager is closed, backers can’t add new pledges, edit existing pledges, or add shipping details. If you still need addresses or shipping details, don’t close it yet.


Choose the right option

Use this table to choose the setup that matches what you want backers to do next.

Pledge Manager closing options

Goal What to set What happens
Close Pledge Manager on a planned date Set a closing date. Gamefound closes Pledge Manager automatically on that date.
Close Pledge Manager now Change Pledge Manager status to Closed. Backers can’t add or edit pledges, or add shipping details.

Set a closing date

Set a closing date when you want to give backers a clear deadline and let Gamefound close Pledge Manager automatically.

  1. Open your project in Projectr Dashboard.
  2. Go to Project settings > General.
  3. Find the Pledge Manager closing date setting.
  4. Enter the date when you want Pledge Manager to close.
  5. Save your changes.

On the selected date, Gamefound automatically closes Pledge Manager.


Close Pledge Manager now

Use this option when you’re ready to stop all backer actions in Pledge Manager immediately.

  1. Open your project in Project Dashboard.
  2. Go to Project settings > Orders.
  3. Find the Pledge Manager status setting.
  4. Change the status to Closed.
  5. Save your changes.

After you save the change, backers can’t add new pledges, edit existing pledges, or add shipping details. You can revert this setting at any time.


Stop new pledges, but keep shipping details open

Use this setup when you don’t want to accept new pledges anymore, but you still need backers to complete their shipping details.

  1. Open your project in Project Dashboard.
  2. Go to Project settings > Orders.
  3. Keep Pledge Manager status as Open.
  4. Set Accept new pledges to No.
  5. Set Shipping only to Yes.
  6. Save your changes.

Backers can’t add new pledges, but they can still add shipping details and pay shipping fees. They can also complete pledges with any of these status combinations:

  • Pledged + Paid
  • Pledged + Partially Paid
  • Placed + Partially Paid

Change or remove a closing date

You can change the closing date before Pledge Manager closes. You can also update a date that Gamefound sets automatically for an inactive project.

  1. Open your project in Project Dashboard.
  2. Go to Project settings > General.
  3. Find the Pledge Manager closing date setting.
  4. Enter a new date, or remove the date if you don’t want Pledge Manager to close on schedule.
  5. Save your changes.

After you save the change, Gamefound uses the updated setting.


How the countdown works for backers

When Pledge Manager has a closing date, Gamefound shows backers how much time is left.

  • The project tile shows the number of days left.
  • The project page shows a countdown during the final 14 days.

This gives backers a clearer deadline to join the project or complete their pledge. Projects with a closing date can also appear in Ending sorting and related homepage tabs soon.


What happens if you don’t set a closing date

If your project doesn’t have a closing date and there’s no backer activity for 6 weeks, Gamefound sets a closing date automatically.

The automatic closing date is 2 weeks in the future. Gamefound notifies creators when it sets this date.

You can still change the date before Pledge Manager closes. If Pledge Manager closes this way, you can reopen it later, as long as it hasn’t been permanently closed.

Backer activity means a new order, an edit to an existing order, or a shipping address update.


What backers can do after Pledge Manager closes

After Pledge Manager closes, backers can’t:

  • add new pledges
  • edit existing pledges
  • add shipping details

You can still manage the project from Project Dashboard. If you still need shipping details from backers, keep Pledge Manager open and use the shipping-only setup instead of closing it.


Reopen Pledge Manager

You can reopen Pledge Manager if it hasn’t been permanently closed.

  1. Open your project in Project Dashboard.
  2. Go to Project settings > Orders.
  3. Change Pledge Manager status to Open.
  4. Review the Accept new pledges and Shipping only settings.
  5. Save your changes.

After you reopen Pledge Manager, check that the settings match what you want backers to do next.


Permanent closure

Gamefound permanently closes Pledge Managers that remain closed for 8 weeks.

After permanent closure, you can still:

  • edit the project
  • manage orders
  • post updates

After permanent closure, you can’t collect payments through that Pledge Manager or reopen it yourself. If you need to reopen it, contact Gamefound Support.
